Guidelines for Session Chairs
You are requested to adhere to following guidelines:
 
  • Please be in the session at least 10 minutes before the session.
  • Please ensure that all equipments are working properly.
  • Please load the PPT files on the computer and ensure that all files open.
  • At the beginning of the session, divide the available time equally among the speakers that are present. Each speaker should be requested to finish his/her presentation within allotted time including about 5 minutes for question-answers.
  • Make sure that all speakers have registered for the conference. They must be wearing the conference badge. If a speaker does not have the badge, please request him to register for the conference immediately prior to making the presentation.
  • Welcome the speakers and audience to the session at the beginning of the session.
  • Introduce each speaker briefly as he/she is invited to make the presentation. The introduction should be limited to the speaker’s name, his/her affiliation, and title of the paper.
  • Give a signal to speakers two minutes before the time he/she is expected to finish the presentation.
  • If a speaker goes beyond the allotted time, do not hesitate to close the presentation abruptly. It is important that the session is finished within allotted time to keep program on track.
  • Papers should be presented in the order they appear on the program schedule. If you are one of the speakers, you must present your paper at the end of the session.
  • Distribute presentation certificates, thank speakers and the audience at the end of the session.
  • After closing the session, fill in the session report, and submit it at the conference desk.
